How I Reclaim 15 Hours a Week With AI

Eight jobs volume photographers can stop doing by hand

What would you do with 15 extra hours a week? Not by working faster. By handing the donkey work to a machine.

Not long ago, this was a normal week in our business.

We'd sit down to find new accounts and spend hours online doing it. Search for the league. Hunt for the right person's name. Dig for an email address, then a phone number. Copy it. Paste it into the CRM. Go back and do the next one. Hour after hour, one contact at a time.

Then a school would send over their student data, and it was never ready to use. Wrong columns, messy data, nothing lined up with what our school software needed. So we'd fix it by hand, row by row, racing to get it imported in time for picture day.

And every league schedule meant another 20 to 30 minutes building the picture day times by hand. Every league. All season long.

None of that work was hard. It was donkey work. Necessary, repetitive, and endless. And it was eating the hours we should have been spending on shoots, on growing the business, and at home.

Today, we automate the donkey work. All of it.

Here's what I've learned about AI for volume photographers. It doesn't replace your judgment. It replaces your typing.

Most of us still default to old habits. We open a blank spreadsheet. We start hunting for an email address. We put the job off until things slow down. Things never slow down.

The photographers getting hours back have built one simple reflex: go to AI first. Before you open the spreadsheet. Before you start copying and pasting. Before you decide the job is a whole afternoon.

Every volume photographer can reclaim 15 hours a week by handing the donkey work to AI. Here are eight JOBS I don't do by hand anymore.

Job #1: Finding New Accounts

This is the one you've been asking me about, and it's where this series starts next week.

We built a machine that finds every school, league, daycare, and studio in a territory, scores which ones are worth pitching, pulls the published contact, pushes the list into our CRM, and starts the outreach emails. Salesforce's research found that sales reps spend 60 percent of their time on non-selling tasks.¹ For a photographer doing their own prospecting, that number feels generous.

Time saved: 6 to 8 hours per outreach round. It now takes about 20 minutes.

Job #2: Building the Picture Day Schedule

You know the email. The league sends a game schedule with 40 teams, three doubleheaders, two byes, and a note that says “let us know what times work.”

Now a skill we built reads that file, asks how many photographers I'm bringing and how long each team takes, and builds a coach-ready sheet where every team shoots before it plays. By hand, that puzzle took us 20 to 30 minutes per schedule. Move one team and three others collide. Now the skill does it in minutes, and nobody gets double-booked.

Time saved: 20 to 30 minutes per league, every league, all season.

Job #3: Fixing Student Data

Every school sends its student data as a CSV file, and it's never correct. Missing fields. Teacher names in the student field. Grades formatted three different ways. Nothing lines up with what your school software needs to import it.

Picture day doesn't wait, so we fixed it ourselves. Depending on how bad the spreadsheet was, that took at least 30 minutes to an hour per school.

That's gone. Now AI takes the file the school sent, matches every column to the format your software needs, and hands back a clean import.

Time saved: 30 minutes to an hour per school, plus the import errors that used to eat the next morning.

Job #4: Answering Parents

“Where's my order?” “Can I still buy?” “My kid was absent, what do I do?”

Every volume photographer answers the same 20 questions a few hundred times a season. And parents want those answers fast. HubSpot found that 90 percent of customers rate an immediate response as important when they have a service question, and 60 percent define immediate as 10 minutes or less.

AI sorts the parent emails and drafts each reply in my voice from answers I wrote once. I read it, tweak it if needed, and send.

Time saved: 3 to 5 hours a week in season.

Job #5: Sorting the Inbox

Lab notifications. League replies. Vendor pitches. A district asking for a W-9.

McKinsey estimated that the average interaction worker spends 28 percent of the workweek managing email.³ AI now reads mine, flags what needs me today, and files the rest.

Time saved: 30 to 45 minutes a day.

Job #6: Writing the Cold Email

You know outreach works. You also know that staring at a blank email to a league president you've never met is the fastest way to decide it can wait until tomorrow.

And one email is never enough. RAIN Group's research found it takes an average of eight touchpoints to get a first meeting with a new prospect.⁴ AI writes the first draft and the follow-ups from what it learned about that specific league. You edit the one line that makes it yours.

Time saved: 20 to 30 minutes per prospect. That's the difference between reaching out to five leagues and reaching out to fifty.

Job #7: Planning the Season

Give AI your league list, your calendar, and your offers, and ask it to lay out the season: which sports to go after, when to reach out, what to send, and when. Then push back on it. It's a better planning partner than most of us have ever had.

A written plan matters more than most of us admit. A meta-analysis of 94 studies by Peter Gollwitzer and Paschal Sheeran found that spelling out when, where, and how you'll act has a medium-to-large effect on actually reaching your goals.⁵ AI makes that plan fast enough that you'll actually write it.

Time saved: 4 to 6 hours per season plan.

Job #8: Reading Your Numbers

Upload the month's numbers. Ask what moved. Ask which league had the best per-athlete spend and which one slipped. Ask what to bring to your accountant.

This one matters more than it sounds. In a 2024 Xero survey, half of U.S. small business owners said they'd faced financial challenges because of a lack of financial literacy.⁶ AI turns the spreadsheet into a plain-English summary of the good, the bad, and the thing to watch.

Time saved: 3 to 4 hours a month, and you actually look at the numbers.

The Bottom Line

Finding accounts, building schedules, fixing student data, answering parents, sorting the inbox, writing outreach, planning the season, reading the numbers. Eight jobs. None of them need your talent. All of them were eating your week. And these eight are only the start. We've handed a lot more than eight jobs to AI in our business. These are just the ones I picked to kick off this series.

Add them up and you'll see where the 15 hours come from. But the hours aren't the real win. The real win is that you build each system once and it keeps working. The outreach machine runs this fall and next fall. The scheduler handles every league you sign. That's not working harder. That's working once.

Imagine walking into next season with the donkey work already handled. Your prospect list built and contacted. Every schedule done in minutes. Parents answered before they have time to worry. Now imagine what you'd do with 15 hours back every week. More time on the shoots that grow your reputation. More time building the business instead of feeding it. More time at the dinner table with the people you're doing all of this for.
